The Assistant Manager - HR provides visible, accessible and trusted human resources support for designated management and employees throughout the designated countries, such as recruitment, selection, induction, payroll, performance management, people and organisational development, compensation and benefits, and employee relations. Act as HR lead on Compensation & Benefits, HR Operations & Payroll for APAC region.

Job Responsibilities:

1. Personnel, Payroll Administration

- Coordinate the business process outsourcing payroll and ensure a timely and correct payroll administration of employees and team members in designated country. Contribute to the development, implementation and maintenance of up to date internal descriptions of payroll administration processes. Manage local HR related audits.
- Ensure a timely and correct personnel and payroll administration of employees in APAC region.
- Accountable for the HRIS updates. Review, propose changes & maintain the online HR Portals as applicable.
- Execute HR processes including but not limited to onboarding, transfer and leavers. Contribute to the optimization of HR processes, signaling bottlenecks, initiating improvements and preparing and updating work/process description.

2. Compensation & Benefits

- Implement, review & administer policies, processes and tools (related to such as insurances, pension, staff handbooks terms and conditions, annual compensation reviews and bonus processes).
- Maintain an up to date and coherent Job and Reward framework (job profiles, job levels, job titles, job families, C&B packages, variable pay programs) based on internal equity and external competitiveness.
- Support to manage ongoing employee compensation programs including annual compensation reviews, promotion cycles, salary proposals, and bonus programs in the region.
- Provide support in preparing job offers, promotions, transfers and dismissal cases.
- Ensure up to date publication of C&B policies, processes and tools on the HR Portal. Provide information sessions for managers and employees.

3. Human Resources Business Partner

- Provide support to management in recruitment, selection, induction and retention of new hires with Omron DNA within a pre-defined process, timeline and key performance indicators.
- Coordinate and support management in the performance management cycle processes across the region regarding performance development reviews, performance improvement activities, mid year reviews, personal development planning, talent reviews and succession planning.
- Support management in identifying development needs and facilitate development activities (on individual, team and organisational level).

4. Ensure and maintain all regulations of Company to keep in line with government regulations, to avoid the existence of issues that can disrupt the stability and operations of the Company and establish a positive employer-employee relationship.

5. Contribute in developing, implementing, monitoring and reviewing HR strategies, policies, processes, instruments, systems and KPI's.

6. Participate in and lead HR projects as defined in the annual HR action plans.

7. Support & deliver any other adhoc duties assigned by Manager.

- Masters or Degree in Human Resources Management.
- Understanding of and familiarity with social security legislation and labor legislation in APAC is highly advantageous.
- Proactive and target oriented. Works with high pace and with a high level of accuracy at the same time.
- Good knowledge of Word and Excel.
- Strong communication skill.
- Proficient in the English and local language, both written and verbal.

The Human Resource Information System (HRIS) and Analytics Manager is responsible for the implementation, support and maintenance of a company’s specialized and internal HR systems, services, and applications. 

This role actively identifies areas of opportunity to improve existing HRIS processes, functionality and workflow, and maximize technological capabilities to reduce manual processes (i.e. employee movements, timekeeping and other systems)

This role will provide actionable insights through HR Data analytics and establish and execute strategies and governance on employee data management and analytics.

Key responsibilities:

HRIS Implementation and Project Management

• Lead the HRIS team to automate, integrate, and configure core HR processes
• Define the HRIS roadmap and serve as the overall Project Manager for all HRIS implementations and initiatives
• Liaise with internal and external stakeholders to analyze business needs and lead the planning, development, testing, and implementation of relevant systems
• Collaborate with external IT vendors on system implementation and support User Acceptance Testing
• Manage requests for process improvements, system enhancements, and the development or purchase of new software applications
• Supervise the day-to-day activities of the HR information system, including system support and maintenance
• Support management on structural policy matters related to the HRIS.
• Maintain data integrity by regularly analyzing data
• Work alongside the IT department to perform regular assessments and improvements to the HRIS
• Design user-friendly processes, guidelines, and documentation.
• Oversee all system upgrades and additions in partnership with the IT department
• Ensure compliance with data protection laws and related regulations for all HR-related systems

HR Analytics and Reports

• Collect and analyze data and statistics to identify trends, improve processes, and enhance operational performance
• Ensure reporting solutions, insights, analytical tools, and dashboards deliver actionable and accurate data to end users
• Prepare reports of data results and present findings to senior leadership
• Establish and execute strategies and governance on employee data management and analytics

Continuous Improvement

• Identify opportunities for automation within HR processes and evaluate tools to improve and maintain data integrity
• Lead and participate in projects focused on continuous improvement and development
• Research and maintain current knowledge on new and emerging HRIS trends.
• Mentor and coach the team to develop expertise and drive process and configuration excellence
• Actively identify and resolve issues or opportunities for enhanced user experience and HRIS integrations

Vendor Management

• Coordinate, schedule, and track progress of specialized work projects or departmental functions
• Manage HR vendor relationships and issue ticketing, ensuring maintenance and issue resolution
• Raise and resolve tickets on issues brought up by HR partners, ensuring no downstream impact
• Interface regularly with vendors and external providers to resolve system concerns
• Review and assess system provider proposals and budgets to ensure cost-effective and relevant HR services and processes
• Ensure vendors comply with regulatory requirements and collaborate with teams such as Risk, Data Privacy, and the Project Management Office to ensure organizational compliance

Responsibilities  

Your job duties include the following tasks and responsibilities:

1. Provide leadership to the HR, immigration and recruitment team and ensure there is a daily meeting cadence to review work and provide clear actions.
2. Oversee and manage the HR system and ensure all records are maintained there. Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in the HR System and ensure all employment requirements are met. Ensure the HR system is reflective of the quality of a IT company with a high degree of automation.
3. Respond to internal and external HR-related inquiries or requests and provide assistance;
4. Lead the Performance Appraisal procedures for Team members;
5. Ensure there is high quality of training sessions and seminars held under the Unify University program and review the presentations ahead of them being conducted;
6. Produce and submit reports on general HR activity including attrition data, diversity and ;
7. Provide guidelines and ensure compliance on the process for hires, promotions, compensation increases, terminations and exit formalities;
8. Driving initiatives that help with a positive company culture and building a family spirit
9. Improving our employee retention initiatives and work to a lower attrition rate also lead a program for proactive check point with team members
10. Managing Payroll and benefits for our team members including the renewal of benefits in all the key markets where we have benefit plans
11. Ensure there is compliance to labor laws across the geographies we are in. Advice management of changes to policies needed to ensure compliance and draft changes to the policies for review.
12. Enhance the HR management system to capture employee complaints, request for help, and certifications of employment. Ensure these are responded to within a 1 working day SLA
13. Audit Employee and team member equipment to ensure compliance with required anti-virus, windows updates and other end-point security software.
14. Roll up your sleeve as needed for the following and other tasks
    • Support the recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, issuing employment contracts etc.;
    • Perform orientations, onboarding, and update Human resource system with new hires;
    • Perform team member appraisals including those of the HR, Recruitment, Immigration and talent team
