• Will provide direct, day-to-day support to the CU Head and other selected leaders within her broader team
• Will be responsible for performing a range of administrative duties, coordinating schedules, travel and events and helping prepare important documents and reports for executives.
• Perform daily administrative activities effectively
• Collaborate with the entire business functions and external partners
• Assists on special projects, events or similar initiatives
• Produces reports, presentations, executive briefs, and other executive materials that support business efforts
• Develops and carries out an efficient documentation and filing system e.g: project documents, such as proposals, contracts, and invoices etc.
• Plans and schedules the meetings with the Leaders and other team members, making travel arrangements as needed, and maintaining meeting notes
• Maintains executives’ calendar and arranges meetings and appointments, and participate in other business activities
• Manages travel arrangements, including booking flights and hotels, arranging transportation, and handling baggage
• Creates Purchase Orders and perform service entry in the system for business teams
• Supports business teams in organizing/managing workshops, trainings, conferences, business meetings, product launch events
• Drafts correspondence, reports, and other documents for clients and internal staff members
• Assists in onboarding of new staff / inbound transferee on admin related matters
• Undertakes the tasks of receiving calls, take messages and routing correspondence
• Handles requests and queries appropriately
• Handle daily transactions for operations with high accuracy
• Prepare correspondence, documents and reports
• Serve on committees and teams to support and collaborate with stakeholders (on site and with our teams
• Perform other duties assigned by the CU Head
• Support Continuous Improvement activities around Safety, Quality, and productivity

THE CHALLENGE 

• Assists in administrative duties which may include but not limited to handling phone calls, e-mails and mailing processes. 
• Ensures cleanliness and orderliness of office common areas and small offices 
• Keep track of Conference Room/Meeting Rooms schedule. 
• Take Minutes of Meeting and update internal web page and spreadsheet 
• Coordination with Admin office for office issues such as but not limited to : elevator, Floor Comfort Rooms, A/C, Parking Slots. 
• Ensures timely processing of all necessary government permits and safekeeping of e-files. 
• Acts as Petty Cash Custodian, and ensure that receipts and transactions are in accordance to the standards set by the Company 
• Acts as the Welcome Assistant/Receptionist and make sure that visitors are attended to. 
• Assists VIPs, Colleagues and Clients with their needs such as but not limited to booking flights, restaurants reservation, etc. Making sure that they are comfortable during their stay. 
• Acts as Procurement Assistant and help in looking for at least 3 suppliers/contractors per requirement. 
• Coordinates with Head Office for office reportorial requirements. 
• Other tasks that may be assigned from time to time. 

YOUR PROFILE 

• Must have strong but pleasing personality 
• Motivated self-starter, preferably graduate of Business Management/communication and arts 
• Good command both written and spoken English, able to communicate clearly with others 
• Flexible with regards to schedule especially night shifts 

The Processing Assistant is responsible for the data capture of invoices, validation and quality control of documents by working to agreed guidelines to ensure excellent service is delivered to our Customers.

The Processing Assistant ensures performance and quality standards are met in accordance with Departmental Key Performance Indicators

• Completing end to end workflow within Managed Service to ensure business as usual is delivered for the Department.
• Personal contribution to delivery of departmental metrics.
• Contribution to operational policies and procedures to improve efficiency & service delivery.
• Evidence of alignment with ground rules & behavioral approach to support collaborative working and high performing teams.
