The Human Resource Information System (HRIS) and Analytics Manager is responsible for the implementation, support and maintenance of a company’s specialized and internal HR systems, services, and applications. 

This role actively identifies areas of opportunity to improve existing HRIS processes, functionality and workflow, and maximize technological capabilities to reduce manual processes (i.e. employee movements, timekeeping and other systems)

This role will provide actionable insights through HR Data analytics and establish and execute strategies and governance on employee data management and analytics.

Key responsibilities:

HRIS Implementation and Project Management

• Lead the HRIS team to automate, integrate, and configure core HR processes
• Define the HRIS roadmap and serve as the overall Project Manager for all HRIS implementations and initiatives
• Liaise with internal and external stakeholders to analyze business needs and lead the planning, development, testing, and implementation of relevant systems
• Collaborate with external IT vendors on system implementation and support User Acceptance Testing
• Manage requests for process improvements, system enhancements, and the development or purchase of new software applications
• Supervise the day-to-day activities of the HR information system, including system support and maintenance
• Support management on structural policy matters related to the HRIS.
• Maintain data integrity by regularly analyzing data
• Work alongside the IT department to perform regular assessments and improvements to the HRIS
• Design user-friendly processes, guidelines, and documentation.
• Oversee all system upgrades and additions in partnership with the IT department
• Ensure compliance with data protection laws and related regulations for all HR-related systems

HR Analytics and Reports

• Collect and analyze data and statistics to identify trends, improve processes, and enhance operational performance
• Ensure reporting solutions, insights, analytical tools, and dashboards deliver actionable and accurate data to end users
• Prepare reports of data results and present findings to senior leadership
• Establish and execute strategies and governance on employee data management and analytics

Continuous Improvement

• Identify opportunities for automation within HR processes and evaluate tools to improve and maintain data integrity
• Lead and participate in projects focused on continuous improvement and development
• Research and maintain current knowledge on new and emerging HRIS trends.
• Mentor and coach the team to develop expertise and drive process and configuration excellence
• Actively identify and resolve issues or opportunities for enhanced user experience and HRIS integrations

Vendor Management

• Coordinate, schedule, and track progress of specialized work projects or departmental functions
• Manage HR vendor relationships and issue ticketing, ensuring maintenance and issue resolution
• Raise and resolve tickets on issues brought up by HR partners, ensuring no downstream impact
• Interface regularly with vendors and external providers to resolve system concerns
• Review and assess system provider proposals and budgets to ensure cost-effective and relevant HR services and processes
• Ensure vendors comply with regulatory requirements and collaborate with teams such as Risk, Data Privacy, and the Project Management Office to ensure organizational compliance

About the Role

Roles and Responsibilities:

• Develops, negotiates and secures Management sign-off of   Service Agreements with Partners including the service scope, expected output, costs and service levels. 
• Amends the Service Agreements as may be necessary due to changing business requirements.
• Ensures that services covered by the Service Agreements are measured and reported to BPI AIA in a timely and regular manner following the agreed formats and supported by transaction details.
• Tracks reports on Service Errors/ Failures received from Partners, Customers and BSEs and ensures that these are closed and resolved with the proper corrective/ preventive action steps.
• Analyzes  reports on actual  Service Level performance and Service Errors/ Failures,   raises gaps and issues to SSM Head and BPI AIA Management,  determines adequacy of measures taken  by Partners and recommends proper course of action to SSM Head and BPI AIA Management.
• Conducts Weekly or Bi Monthly Coordination Meeting with Process Owners/Vendors to discuss reported issues, status and action steps to avoid possible recurrence of the same problem.
• Liaises with partner’s Account Manager or person in charge to ensure timely and successful delivery of all solutions related to service related issues with the objective of meeting customers’ need and providing support to sales force.
• Initiates projects to help improve the service delivery to customers and sales force from development of financial assumptions and business case, project defense, secures approval from all concerned units, project set-up, implementation and attainment of target results.
• Develops capacity planning together with the Shared Services Data Analytics Officer using projected sales volume to ensure that required headcount is in place to deliver the required service and meet the target service level.
• Conducts quarterly review with service providers to assess the quality of the services being rendered and identify areas for improvement and opportunities for improving controls.
• Develops and manages the communication internally as well as with bank partners, AIA PH and other vendors in coordinating the service enhancements, new projects and other activities related to service delivery.
• Development and Sign-off of Service Level Agreement with partners and vendors Attainment of service levels by Partners/ Compliance of other Service KPIs Completion of service reports/ studies on schedule Resolution of Services Issues/ Gaps Completion of regular cadence with service providers Completion of Quarterly Review with service providers

Minimum Job Requirements:

• Graduate 4- or 5-year course in Business, Management or other relevant fields
• At least 5 years of work experience preferably with shared services or audit role or other similar field.
  • Strong knowledge and understanding on process design and control, can read effectively data and reports
• In-depth knowledge of escalation procedures, incident management and other disciplines related to service management
  • With experience in dealing with third party service providers
  • Exceptional customer (internal and external) facing skills
  • With strong ability to manage and prioritize tasks efficiently
• Solid analytical and problem solving skills
• With readiness to demonstrate a proactive attitude

Responsibilities for this position may include but are not limited to:

• Process and handle customer sales order processing, delivery/logistic arrangement, billing and sales support
• Validate customer purchase orders against compliance, supply policy, forecast, sales agreement and general terms and conditions. Negotiate or resolve any discrepancies prior to order processing
• Track order status and provide regular feedback to the customers and sales team
• Liaise and coordinate with various work groups to resolve forecast or operational issues to ensure timely delivery/shipment of orders to local and export customers

YOUR MISSION

The Assistant Manager, Key Account supports the objective of driving profitable and sustainable market share and net sales growth within assigned key accounts, delivering against the budget and commercial expectations, while executing with respect to PUMA standards and qualitative objectives. The main job responsibilities are as below:

• To lead and drive the sales efforts with assigned Key Accounts. Segment all key customers according to the AP blueprint and allocate resources (time, people) according to financial objectives and segmentation framework (no of visits, VM support, order intake modus etc). 

• To lead the identification and development of new business opportunities in the key segment. Support the development and implementation of Key Excellence Mgmt by briefing and utilizing available selling tools and technologies eg Digital Catalogue, B2B Ordering tools 

• To coordinate and manage the seasonal sell-in process and Go-to-Market activities with respect to distribution policies and brand initiatives. 

• To deliver the seasonal sell-in targets for the account(s), agree with account(s) on expected KPIs / sell-thru targets and monitor the progress. Ensure continuous monitoring of the Orderbook making sure orders are placed and converted according to agreed timelines. To seek continuous re-orders opportunities from time to time.

• To forecast, track and report quantitative and qualitative performance on Key Account Performance i.e. Sales and Margin, Trade Terms, Orderbook. To monitor and report on customer and competitor performance ie market share, situation and development, sell-thru performance and ROI on key activities.
