Job Title: Apparel Management Assistant

Our agency is currently looking for a highly organized and detail-oriented Remote Assistant with strong experience in the Apparel/Fashion Industry and knowledge of QuickBooks. This role involves managing day-to-day office tasks, financial data entry, and inventory tracking to support our apparel business.

Work Schedule: 9 am to 5 pm EST

Key Responsibilities:

• Handle day-to-day bookkeeping tasks including data entry, invoicing, and reconciling accounts.
• Support the management of product inventory using Quickbooks and ApparelMagic (training available if needed).
• Assist in order processing, tracking inventory levels, and updating product details.
• Manage emails, calendar scheduling, and coordinate virtual meetings.
• Handle customer inquiries, orders, and follow-up communications.

• Prior work experience as a Virtual Assistant, Accounting, or related role in the Apparel/Fashion Industry.
• Previous work experience with QuickBooks.
• Knowledge or familiarity with ApparelMagic or other apparel Apparel management software.
• Strong organizational skills and attention to detail.
• Excellent communication skills for interacting with teams and clients.

JOB SUMMARY :

The Data Management Assistant is responsible in performing general recordkeeping of the farms' operational information and in providing accurate data and reports for the farms. The position is also responsible in filing and organizing records and ensures the provision of quality and correct information by conducting audits to verify data.

The Data Management Assistant also oversees the monitoring and restocking of farm supplies, feeds and other required resources of the farms.

DUTIES AND RESPONSIBILITIES:

Record Management:

1. Accurately monitors and records daily swine production data and other relevant operational data.

2. Compiles, organizes and files farm records and documents and ensures proper storage and security of farm data..

3. Updates and encodes on ERP system as needed.

4. Prepares inventory reports and creates Farm Purchase Requisition, e.g. medicines, vaccines, farm supplies and others, upon the instruction of the farm manager and farm supervisor.

Report Management:

1. Consolidates farm production data and submits weekly accurate production reports and other farm reports.

Customer Service

1. Ensures the timely preparation and issuance of various swine medicines, vaccines and supplies to farm personnel.

2. Manages the feed request of the farm and its delivery schedules.

Inventory Management:

1. Ensures accurate inventory count of stocks weekly.

2. Maintains enough level of farm supplies, medicines and vaccines to ensure availability for farm requirements.

3. Ensures proper care and handling of farm supplies by following the required storage conditions for medicines, vaccines and other supplies.

4. Coordinates with farm driver the timely pick-up of medicines and other stocks from the warehouse.

Other Tasks:

1. Performs other related works that may be assigned from time to time.

Junior Finance analyst is responsible for collection, organization, interpretation, analysis, scrubbing, documentation and dissemination of complex data sets.

It is key to be flexible as the tasks may change and be added to. It will be key to contribute to the continuous improvement of our processes and it will be expected that the analyst will bring ideas to the Arch team by utilizing their expertise or previous experience.

• Process bureau settlement into IRIS and process cash allocation.
• Create front sheets and process cash allocation for non-bureau premium .
• Join special projects within Finance to be cross-functional
• Communicate directly with Underwriters and Brokers for complex accounts.

Working Hours: EST Mo-Thurs (8 hrs), Friday (2 hrrs), Sun (6 hrs)
