• Support the AP SG Team by scanning and forwarding the newly received invoice for payment. 
• Attend to supplier’s concern and query. 
• Managing Inventory of incoming and processed documents

• Process accounts payable transactions, ensuring accurate and timely voucher entries and payment processing, while applying appropriate taxes.
• Assist in payroll processing and performance incentive distribution to ensure seamless and timely disbursement.
• Support financial closing activities, including preparing journal entries, analysing general ledger accounts, and maintaining monthly schedules for both month-end and year-end reports.
• Ensure all accounting transactions adhere to company policies, procedures, and relevant compliance requirements.
• Respond promptly to inquiries from internal team members and external stakeholders, providing accurate information and support.
• Assist in the creation, updating, and maintenance of Standard Operating Procedures (SOPs) and work instructions for various business processes.
• Handle the release of final pays and exit documents for employees completing the offboarding process.

• Creates customer invoices in accordance to client’s contracts/SOWs 

• Monitors project status and updates project backlog report. 

• Updates project resources list,  reviews/monitors resources’  timesheets and tracks resources utilization tracking. 

• Send Statement of Accounts/ Payment Reminders to customers  

• Monitors Customers’ Aging Report, ensures correctness of each customer accounts  and ensures timely payment of customers. 

• Liaise with customers on matters related to billing and collection.

Job Summary  

• To provide and ensure the timely and high quality service and deliverables to the cluster clients for funds and/or corporate clients allocated to you on a regular basis.  

• Concentrates on delivering consistent results by focusing mainly on preparation of core processes, low complex ad hoc work and minimal client requirements.  Performs self-review of core processes to demonstrate self-awareness in gaining productive insights into professional and personal strengths and weaknesses.  

• This entails assisting in all reporting requirements, such as but not limited to financial statements, working papers/ management accounts, partner statements and ad-hoc client deliverables.  

• To assist in various accounting and administration processes and conduct all work in accordance with IQ-EQ Philippines Inc.'s policies and procedures.  

Core Responsibilities   

• Responsible for the preparation of Financial Statements with Disclosures and other ad-hoc service requests for funds and/or corporate clients.  

• To ensure all deliverables are timely and accurate   

• Acquiring knowledge of designated clients' requirements and deliverables.  

• Ensure compliance by following procedures and checklists following SSAE and other similar statutory requirements  

• Proactively seeks adequate training, feedback and support in both technical and non-technical aspects of the role  

Tasks & Duties  

Cluster Client Delivery  

• Acquires knowledge and understanding of the clients’ agreements, Scope of Work (SOW), SLA’s and other necessary information needed to prepare deliverables.  

• Ensures complete information, data, supporting documents, etc. are received for the preparation of the needed requirements.  To acknowledge or to escalate the completeness of the information, data, supporting documents, etc. to the Senior Accountant.  

• Delivers consistent and quality information within the agreed timeframes.  

• Prepare, complete, and ensure the quality of the assigned clients’ deliverables within the agreed timelines.  

• To be knowledgeable with the components of the reports generated by the appropriate platform/s.  

• To be able to review outputs and all other deliverables prepared.   

• To address review comments.  

• Takes ownership, prepares and replies to cluster/Client/Investor’s queries within 24 hours.  

• Escalates any job-related issues and concerns to the appropriate authorities in a timely manner.  

• Provides support to the rest of the team and other teams, as needed.  

Workflow Management  

• Ensures timesheets are completed daily and accurately filed for all hours worked knowledge and understanding of the clients’ agreements,   

• Sets up, monitors, updates and closes all deliverables via the workflow planner  

Systems  

• Understands and uses best practice on accounting platform/s.  

• Understands and becomes knowledgeable on how to generate reports using reporting platform/s.  

Risks  

• Ensures relevant procedures, checklists and SSAE requirements are adhered to and completed to mitigate errors.   

• Reports any breaches, complaints or errors to appropriate authorities in a timely manner.  

• Assists in the preparation of error reports, identifies the areas of operational risk and participates in proposing appropriate remedial actions within 24 hours of identifying the error.  

Other

• May undertake any additional tasks and/or responsibilities as part of their professional development which may or may not be related to their specific function.

• Responsible for the safekeeping, filing and organization of tax and compliance related files to ensure orderly filing of documents and record. This also includes ensuring that all documents related to LOA are filed accordingly and are accounted for completeness .
