As an AP Associate, you are responsible for carrying out various day-to-day accounting activities and performing various reconciliations and tasks in support of the financial close process.

WHAT YOU’LL DO

• Process accounts payable using Tipalti and NetSuite by obtaining approvals and making sure vendor invoices are in the accounting system by their appropriate GL codes. Tipalti accounts payable volume is currently 700 invoices per month and is likely to increase over time. The expectation is to be able to process 80-100 invoices daily, and ensure the inbox has zero or less than 10 invoices at close of business.
• Making sure all vendor bills received in our AP inbox payments are uploaded correctly in Tipalti with all necessary attachments.
• Assist AP Manager with weekly AP aging payment reporting.
• Assists in the payment process in a timely manner (Net 30 business days from invoice date “or” Due upon Receipt only for those one-off sensitive vendors).
• Assist with AP month-end close.
• Assists AP Manager with processing Amex and employee reimbursement reports.
• Answer questions Brooklinen team members (internal) have regarding invoice and payment follow-ups, as requested.

▪ Work with the O2 Monitoring, Evaluation and Learning (MEL) Team and the O2 Grants Team to aggregate information and insights related to the transition of OSYs to further education and training based on O2-produced reports and studies, and reports from various grantees aligned with policies issued by government agencies;
▪ Write reports and present insight to O2 management as to why there are persistent barriers in the transition of OSYs to further education and training and help to identify ways in which OSYs could have access to lifelong learning opportunities;

• 2+ years of technical support experience: Preferably supporting customers via email and chat.
• Experience in providing technical support: installing and uninstalling apps from phones and computers.
• General knowledge of how web-based and mobile apps work.
• Passion for creating exceptional customer experiences and an ability to use challenging situations as an opportunity to exceed customer expectations.
•  Ability to thrive in a dynamic and evolving environment – must be adaptable.

Your day-to-day responsibilities will include:

• Ensure achievement of monthly DSO Budget and other KPI targets.
• Manage Accounts Receivable balance and contact customers before balances become overdue to confirm payments
• Responsible in identifying slow moving accounts and escalate delinquent debts for case management
• Monitor customer credit limits
• Acquire sufficient information to assess the credit worthiness of new clients
• Monitor Field Collectors performance and productivity
• Responsible in handling disputed bills and negotiate to bring payment within the agreed terms.
• In-charge of the preparation of Reminder Letters
• Ensure all Customer complaints & inquiries are acted as a matter of urgency and importance following the company SOPs and 2/24 promise
• To maintain good business relationship and thus improve customer retention and DSO
