Reporting to the Facilities Manager, this TEAM LEADER role will support the Facilities department on a day-to-day basis by taking care of the property(s) assigned to the Store, and help ensure that the store has the proper comprehensive service systems and teams (contracted and co-working) in place to deliver results, and keep our properties, buildings and supporting infrastructure in safe, working order, available and open for business.

Your assignment

This role is reporting to the Sales Support Team Lead. It is a full-time role, with a hybrid work arrangement (on as per need basis).

Operational :

• Process deals created by the sales team and process user purchases
• Perform verfications on deals (requirements and payment provided)
• Manage commercial account manager concerns
• Coordinate with relevant departments for requests provided by the sales team (bugs, trade materials, SKU requests)
• Accountable for operational commercial projects/tests required by the commercial verticals
• Manage sales CRM tools (Salesforce)
• Monitor and remind clients with recurring payments and help collect if necessary
• Perform outbound calls to ensure customer success

A Sales Advisor is responsible for delivering the best customer experience that contributes to the store’s sales and profit. As a Sales Advisor, you’ll always put customers first, offer assistance, and share your product and fashion knowledge. You’ll create an environment that is easy for customers to shop through store operations and great garment care. You will also share your knowledge and skills with your colleagues, offering help where needed to build a positive working environment.

Key Responsibilities

• Provide great customer experience.
• Fold, hang, display, and merchandise garments to maximize selling opportunities.
• Actively process, stock and replenish garments on the sales floor and in the stock room.
• Open, unpack, and label merchandise with security tags.
• Support customer purchases and returns in the register.

In this role, you will be the single point of contact for the Commercial and Finance teams, to liaise on Finance/Revenue related requests. You will be the go-to person from the Commercial side on all Finance related processes, platforms and documents who can advise on actions accordingly. You will also be responsible for ensuring that all key cut-off dates based on the Monthly Closing Calendar are strictly adhered to

• Update opportunities for Commercial teams and advise on opportunity set-up in Salesforce. 
• Commission opportunity in Salesforce to get the job number (i.e. include billing instructions, final contract details, evidence of agreement (EOA) and/or PO). Raise job number request for exception cases, if needed.
• Raise request and coordinate new SAP account creation and credit checks.
• Review and approve proforma invoices .
• Follow up with the Billing team on sending invoices to clients.
• Raise credit memo request for invoice revisions/ cancellations.
• Attend the local Billing and Cash Collection calls and coordinate action items with the Commercial team.
• Ensure project dates in SAP are updated. Raise SAP change requests as needed.
• Follow up with the Operations team on pending fieldwork start date confirmation.
• Follow up with the Commercial team on pending evidence of delivery (EOD).
• Other Finance/Revenue-related duties, as assigned

What you'll be doing:

Product Setup and Content Optimization

1. Oversees the setup and maintenance of new products on all platforms based on seasonal New Product Introductions (NPIs) or assortment expansion strategies.
2. Updates product content seasonally for SEO optimizations.
3. Gathers product details and assets, including photos and copy, to ensure comprehensive and optimized listings.

Monitoring and Reporting

1. Monitors order flows (Order Flow Monitoring):
   • Ensures orders are processed and shipped as planned for all retail partners, Amazon, Walmart, Target, Nordstrom, Nordstrom Rack, Pottery Barn, etc.
   • Collaborates with the operations team to address any delays or issues.
2. Monitors sales (Sales Monitoring):
   • Tracks sales performance by Retail Partner and Brand against projections.
   • Investigates and addresses any sales exceptions or discrepancies.
   • Performs partner site audits to ensure product listings are accurate and up to date.
3. Ensures product compliance and monitors accounts (Product Compliance / Account Monitoring):
   • Monitors account health and submits tickets to resolve issues.
4. Conducts In-Season and Post-Season Analysis:
   • Conducts sales performance reviews during and after sales seasons.
5. Monitors Inventory and Pricing Management:
   • Monitors inventory availability and updates retailer allocations based on sales performance.
   • Update pricing across retail partnerships.

Accounting Reconciliation

1. Collects and organizes reconciliation forms from partners into Excel sheets for accounting purposes.

Team Management

1. Leads and manages the Indirect Sales Support Team (2-3 direct reports).
2. Develops training templates and assists in building sustainable business processes for the team.
3. Provides regular updates on task completion, current projects, upcoming tasks, and backlog.

Other Duties and Responsibilities

1. Performs other duties that maybe assigned from time to time.

What you bring to the table:  

• Bachelor’s Degree in any field.

• Minimum of five (5) to 10 years of relevant experience in eCommerce, particularly in setting up products on retail/marketplace websites.

• Must have expertise in content optimization to boost conversion rates.

• Must have strong organizational and team management skills.

• Must have the ability to develop and implement efficient business processes.

• Must have the ability to perform in-season and post-season sales analysis.

• Must have strong analytical and problem-solving abilities.

• Must have excellent communication and interpersonal skills.

• Must be proficient in Microsoft Excel and other relevant software tools.

• Must have familiarity and experience with marketplace tools like Helium 10, Jungle Scout, etc.

• Must have the ability to quickly learn and train the team on new tools as needed.

• Must have attention to detail and a proactive approach to task management.

Location: The Indirect Sales Support Team Manager position is a work-from-home position for Balsam International Unlimited Philippine ROHQ in Manila. Team members in the Philippines are located within Metro Manila, Bataan, Batangas, Bulacan, Cavite, Laguna, Pampanga, Rizal, and Tarlac areas only.

• Assisting in the creation and conceptualization of various forms of communications plans
• Assisting the Communications and Media Relations Specialist in conducting research on recent news and stories related to the company, competitors and the industry

You will be expected to:

• Perform weekly payments, bank reconciliation, cash flow and month-end closing tasks for AP-related accounts;
• Coordination with related stakeholders i.e. suppliers, internal requestors, etc., to solve daily issues;
• Follow all internal control procedures for all AP tasks;
• Ensure that agreed SLA & KPI are constantly met;
• Produce monthly AP reports as needed;
• Provide backup for other team members and handle ad-hoc tasks.

You will be asked to do:

• Invoice Management: Assist in receiving, reviewing, and processing vendor invoices. Ensure all invoices are accurately coded, approved, and entered into the accounting system.
• Payment Processing: Support the preparation and execution of payment runs, including checks, ACH, and wire transfers. Ensure timely payments to vendors while adhering to company policies and terms.
• Vendor Communication: Communicate with vendors regarding invoice discrepancies, payment inquiries, and account updates. Resolve issues efficiently and maintain positive vendor relationships.
• Data Entry and Maintenance: Accurately enter financial data into accounting software. Maintain organized records of invoices and payments.
• Reconciliation: Assist with monthly reconciliations of accounts payable subledger to the general ledger. Identify and resolve discrepancies.
• Expense Reports: Review and process employee expense reports, ensuring compliance with company policies and proper documentation.
• Compliance: Ensure all financial transactions comply with company policies, procedures, and relevant regulations.
• Ad Hoc Projects: Provide support for special projects and initiatives within the Finance and Accounting department as needed.
